Job Description

We are looking for a dedicated Executive Aide to join the School of Medicine Dean’s Office at Case Western Reserve University. In this role, you will play a crucial part in ensuring the smooth operations of the office, allowing the dean and chief of staff to focus on leading the school effectively. This position offers a unique opportunity to work independently and handle various administrative responsibilities.

Responsibilities

  • Manage the daily operations of the office efficiently, including maintaining calendars and coordinating travel arrangements.
  • Act as a key link between the dean, chief of staff, academic units, and external contacts, processing confidential information and resolving important matters.
  • Provide executive assistance to the dean, handle communication, and serve as a point of contact for faculty and students.
  • Participate in strategic planning, assist with special projects, and conduct institutional research to support decision-making.
  • Assist with financial planning, budget development, and ensure compliance with university policies.

Qualifications

  • 10+ years of administrative experience, preferably in a university or non-profit executive office.
  • Associate’s degree required; Bachelor’s degree preferred.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to work independently, handle multiple tasks, and maintain confidentiality.
  • Proficiency in Microsoft Office and other relevant office technologies.

Working Conditions

This position involves working under pressure, utilizing office technologies, and maintaining flexibility in schedule including occasional early mornings, evenings, and weekends.
